Voice notes vs written notes: when to speak, when to type

Voice notes are not lazy writing. They are a different capture. Walking out of a shop, you can speak a name and a price. You cannot type them without stopping.

What writing is better at

A typed line lives in search. You can find “invoice” six months later in any notes app. A one-word code, a URL, a SKU — type those. Do not speak a password or an account number into a memo.

What speaking is better at

Speech keeps the number as said and the hesitation around it. “It’s forty — no, forty-five if they want the rush.” That hedge dies when you type “45.” Speak when your hands are full or when the detail is a story, not a string.

The failure is the pile

Forty files and no list. That is the cost of speaking. Empty the pile the same day. Voice-note inbox turns a batch of short phone files into cards you can scan. One long ramble that is secretly four tasks belongs in Ticket factory, not in a stack of twenty-second clips.

If you are already at a desk and the thought is one sentence, type it. Recording it “for the fieldwork feel” only creates another file.

What not to speak

Anything you would not put in email. Other people’s talk in the background. A voice note is still a recording. Wind and vans eat names — keep the original until you have checked the card.
