Transcribe and Organize Voice Notes

Transcribe and organize voice notes when a stack of phone messages is easy to ignore. Upload one note or up to eight short files, including WhatsApp-style OGG or OPUS. Each file is transcribed. Cards prefer request-like lines (please, can you, need to, follow up). If none are found, the first couple of spoken lines become the card. Number-like lines from that note can be attached as extra. You scan the inbox instead of replaying forty messages.

Useful for Anyone whose work arrives as voice notes

  1. 1You upload one to eight files. OGG and OPUS are accepted only here.
  2. 2Each file is transcribed on its own.
  3. 3Up to four request-like cues become cards; if none exist, the first two cues are used.

Or use the general upload for a transcript, summary, chapters, and chat. All tools.

OPUS and OGG are accepted.

What this tool does

Voice notes pile up while you walk. This page is an inbox, not a diary and not a ticket tracker. A card shows the source filename, a spoken quote, the time in that file, and optional “Numbers:” text pulled from digit or word-number cues in the same note. Names appear only if they were spoken in those lines. One twenty-minute dump makes messier cards than eight short notes. A rambling task list belongs on the ticket tool.

How it works

  1. 1You upload one to eight files. OGG and OPUS are accepted only here.
  2. 2Each file is transcribed on its own.
  3. 3Up to four request-like cues become cards; if none exist, the first two cues are used.
  4. 4Up to four number-like lines from that note can be attached on the card.
  5. 5You scan quotes by filename and play a snippet when you need the voice.

Who it is for

Anyone whose work arrives as voice notes — client WhatsApp dumps, walking memos, and short phone messages.

What you can use it for

A day of client WhatsApp notes

You have six short voice messages. Upload all six. Each filename becomes a group of cards: the “please send…” lines first, with any spoken amounts attached. You act from the list at a desk instead of holding play on every bubble.

Walking memos with names and prices

You spoke a shop name and a number into the phone. Upload those notes. If there is no “please,” the first lines still become cards; number cues show on the extra line. You copy what you need. Atmosphere with no speech becomes nothing.

Handoff without forwarding audio

A teammate needs the asks, not six files. Upload the notes, copy the card quotes. If the audio is really four tickets, run the ticket tool on the dump instead.

Example: four notes, one inbox

A freelancer uploads four WhatsApp voice notes after a site visit. Two contain asks; one is only a price; one is noise. Illustrative cards:

note-1.opus 00:08 “Please send the revised quote to Anil.”
  Numbers: “It’s still forty thousand.”

note-2.opus 00:04 “Can you confirm Friday for install?”

note-3.opus 00:02 “Parking is two hundred a day.”
Numbers: “Parking is two hundred a day.”

note-4.opus produced no usable speech — no fake card.

What you get

Inbox cards per note: filename, quote, time, optional numbers. A file with no usable speech does not become invented text.

  • Up to eight files, including OGG and OPUS
  • Cards built from asks, or from the first lines if there is no ask
  • Optional numbers from the same note
  • Scanable inbox instead of a replay pile

Supported files

Up to eight files. MP4, MOV, WEBM, MP3, M4A, WAV, plus short phone notes in OGG or OPUS. This is the only toolkit page that accepts those phone formats.

Limits to know

Cards are a few cues per file, not a full transcript of every second. Names are not extracted as a separate field. There is no search box across old jobs on this page — you scan the cards from this upload. Noise stays empty.

Tips for better results

  • Prefer several short notes over one long dump. A dump of tasks is the ticket tool.
  • Say names and amounts clearly if you will need them on the card.
  • Copy what you need when the job finishes.

Questions

Can I transcribe WhatsApp or phone voice notes?

Yes. OGG and OPUS are accepted here, plus MP3, M4A, and WAV. You can upload several at once.

How many voice notes can I upload together?

Up to eight in one job.

What is on a card?

The filename, a spoken quote (usually an ask), the time in that file, and optional number lines from the same note.

Do I have to replay each note?

No. Scan the cards. Play a snippet only when you need the voice.

Will you write a summary of my day?

No. Cards come only from speech in the files you uploaded.

When should I use tickets instead?

When one rambling dump is really several work requests. This page is an inbox of notes, not an issue tracker.

What if a note is just noise?

That file does not become fake text.
