How to turn a work recording into decisions and follow-ups

After a standup or a vendor call, the useful leftover is usually a decision or a task. The rest is atmosphere. The mistake is writing a recap that invents the leftover.
The fifteen minutes after the call
Upload the file. When the transcript is ready, read only the last third first — that is where “so we’ll…” usually lives. Copy each spoken decision or task into the tracker with the time next to it. If the Spoken Record’s action and decision lists are empty, do not fill them in from memory. Either the meeting did not decide, or you still need a written decision in email.
A joke can look like a task. Overlapping speakers hide a date. Play the moment before you assign anyone.
When one toolkit page is enough
The home-page upload is the transcript, chapters, and those spoken lists. Open a toolkit page only when the leftover is a specific object:
- a commitment you may have to prove — Promise ledger
- a briefing the team will actually play — Keep only N minutes
- a ramble that is secretly several jobs — Ticket factory
- a how-to that should become steps — Walkthrough to procedure
Do not run every call through all four.
Send the line, not the vibe
“12:18 — we’ll invoice on the first” is a follow-up. “As discussed, billing TBD” is how the task dies. Download a clip only if the other person needs to hear it, and do it while the job is still available.
This is not a project manager. It will not nag anyone. The follow-up still has to leave your inbox.
